How does Rent a Home Mallorca get your personal data?

We collect personal data in different ways, for different purposes. For example, when you subscribe to our newsletter, when you send a request for one of our properties, when you contact someone in our team by visiting any of our offices, by calling us or through networking event or other personal contact. Furthermore, your personal data is needed when setting up an agreement for renting a property.


What kind of data is being processed?

For newsletters and mailing lists for direct marketing, Rent a Home Mallorca collects data such as name and contact information. 
In connection with setting up agreements and contracts before renting or renting out properties, we also register information about the property, your contact information (such as full name, address and telephone number), a copy of your ID documents along with other relevant information that has been given to us and, when needed, information about your financial situation.
Before potentially renting a property, we collect information regarding what kind of property you, as our client, are looking for, and other relevant information that help us to, in a better and easier way, identify and satisfy your requirements. 


Why is your data being collected?

Rent a Home Mallorca collects and processes your data for various reasons. Mainly to be able to fulfill our commitments towards you as a client, as for setting up agreements for rentals of properties. We also collect data to provide our clients, and potential clients, with relevant information and good service, when it comes to mailings and digital marketing. Additionally, we have the legal obligation to save your personal data due to the accounting regulations and anti money laundering regulations. 



Who can access your data?

Only people who work for Rent a Home Mallorca, consultants and IT companies included, have access to your data, and are responsible for handling these according to the applicable law. However, your personal data can be forwarded to a third party when fulfilling an agreement or when needed for legal reasons. A third party in this case refers to the other party to an agreement (i.e. tenant and landlord), bank, lawyer, builder or collaboration partner, if the deal is made with another real estate agent.
In case there is any suspicion of a criminal act, or matters related to money laundering, the authorities will be given access to your data. 
In case of a legal dispute, these may also be forwarded to counter-parties and legal advisers.
Additionally, we have never sold, nor will ever sell, your personal data to a third party. 


On what legal grounds do we collect your data?

For us to have the legal right to collect and process your personal data, we need to be able to show legitimate and valid purposes. For example that the information is required for us to be able to set up an agreement, that we need the data to fulfill our legal duty, or that we have a legitimate interest in processing your personal data from a business perspective.
When it comes to processing the personal data of tenants and landlords, we are obligated by law to collect these in order to prevent money laundering and make sure no connection can be made to terrorist financing. Furthermore, we rely on the grounds that they are needed to set up an agreement, whether it is for taking notes for a potential tenant, write a rental agreement for a landlord and/or a tenant.
We rely on a legitimate interest on running our business, when it comes to collecting personal data for sending out emails with relevant content such as information, offers and updates, in order to market Rent a Home and maintain our client relations. 


What are your rights?

You have the right to, at any time, request information regarding the personal data that we hold about you. You also have the right to rectification and demand to have the data corrected, if it is incorrect or irrelevant. There is also the possibility for you to request that we restrict the processing of your personal data if it is based on our legitimate interest.
Furthermore, you have the right to have your personal data erased, with the exception for an ongoing matter, such as legal concern or ongoing investigation, or if there is a legal requirement for us to save them.
In those cases where we collect your personal data on the grounds of our legitimate interest, for direct marketing or newsletters, you have the right to object and are given the opportunity to opt out in each individual email. In cases where you have given us your consent, you have the right to withdraw this at any time.
